Website vs web app vs custom software — which do you need?
A decision framework based on what your business is trying to do: inform, transact, or run internal operations.
The short answer
A website informs and converts visitors. A web app lets logged-in users do work — book, configure, manage orders, run dashboards. Custom software usually means internal ops tools, ERP-linked systems, or products where off-the-shelf SaaS does not fit.
Pick based on what the business is trying to do: inform, transact, or run operations — not based on how many pages you think you need.
Three types defined
Clear definitions prevent expensive mis-scoping:
- Website / marketing site — Public pages, SEO, contact forms, maybe blog. Users browse; little or no login. Goal: trust, leads, local discovery.
- Web app — Users sign in and perform tasks: booking, B2B ordering, client portals, configurators, member areas. Goal: repeat usage and transactions.
- Custom software — Often internal or hybrid: inventory sync with Tally, production tracking, dealer portals, multi-role admin. Goal: run the business, not just market it.
Decision framework
Answer these four questions:
- Do users need accounts and private data? No → website. Yes → web app or custom software.
- Is the workflow unique to your business? Generic booking might be SaaS; textile job-work tracking probably is not.
- How many systems must connect? Brochure site + form. App + payments + ERP = custom integration scope.
- Who uses it — customers only, staff only, or both? Staff-only ops tools are often custom software even if they run in a browser.
Examples from real client mixes
How different businesses map:
- D2C apparel — Website/e-commerce for catalog + checkout. Web app layer for wholesale login or custom sizing later. WhatsApp order bots sit on top.
- B2B manufacturing — Marketing website for credibility. Custom portal for dealers to check stock and place POs. ERP integration is the real project.
- Finance / wealth services — Compliance-heavy site for trust. Client portal (web app) for statements and onboarding docs. Custom workflows for RM prep, not public pages.
- Local service business — Website + Google Maps + WhatsApp is often enough for years. Upgrade when you cannot track leads or bookings.
When lines blur
Shopify is a website and a web app. Notion is software in a browser. Labels matter less than scope:
- E-commerce on Shopify/WooCommerce — Still “website” for many SMBs until custom checkout rules appear.
- WordPress + membership plugin — Crosses into web app; security and performance need more care.
- “We need an app” — Often means mobile-friendly web app, not App Store binary. Clarify before quoting native iOS/Android.
Cost and timeline implications
Rough India ranges — see our cost guide for detail:
- Website — ₹80,000–₹2,50,000 typical custom business build.
- Web app — ₹3,00,000–₹10,00,000+ depending on auth, roles, payments.
- Custom software — ₹5,00,000–₹20,00,000+ when ERP, multi-branch, or compliance involved.
- Wrong choice tax — Building custom when WordPress suffices wastes money; forcing Shopify when you need ERP sync wastes years.
